Executive Assistant to CEO

We are looking for an Executive Assistant with experience providing executive level support within a Government Department or Council for a full-time permanent position.

This EA role is to support the CEO, Board and Leadership team of a government organisation, that is leading a massive regeneration project in an urban and multi-cultural community located in Auckland City Fringe. You will be based at the Panmure office, providing comprehensive operational and executive support in a professional & efficient manner. The CEO that you will support in this role is down-to-earth, transparent in communication, good at connecting with people from all walks of life, plus is devoted to the organisations purpose.

The right fit person for this role will have knowledge and experience within an organisation that has a service orientation to help communities improve their social and/or economic situation. Additionally, you need to have an awareness & appreciation of being part of a multi-cultural community, high integrity and political savviness.

This role will commence ideally in July, although an August start can be accommodated. 

Key Responsibilities:
  • Provide executive level support to the CEO 
  • Diary management, travel arrangement and email management for the CEO 
  • Preparing Board Reports – this will soon be on a paperless system 
  • Taking meeting minutes – there is one Board meeting per month and it is 3 hours in duration 
  • Meeting management – organising catering, venues and equipment 
  • Prepare presentations, reports and correspondence for the leadership team 
  • Provide operational support to the leadership team 
  • Identify key contacts within government departments and build effective working relationships
Key Requirements: 
  • Must have prior Executive Assistant experience, or in a role that has the same responsibilities as an EA (ideally within a Government, Council or Political organisation) 
  • Strong relationship building skills 
  • Proficient with Diligent and Board Report creation
  • Intermediate or Advanced skill level at using Microsoft Word, Excel, PowerPoint and Outlook 
  • Ability to work productively and accurately when under pressure
  • Market level salary
