Shared Services Coordinator

Wellington

  • 12-month fixed term assignment

This is an exciting opportunity to showcase your top-notch administration and coordination skills within this highly-regarded Government agency.
 
Working within the strategic and operational lead at the centre of the agency, the Shared Services Coordinator provides professional and comprehensive executive administrative support and coordination services to the Finance, Information Technology and People & Wellbeing team(s).

This role includes, but is not limited to:
  • Providing timely and high quality administrative support to the manager, allocated teams, and appropriate governance committees.
  • Anticipating the manager's daily requirements for meetings and engagements, and coordinating information and resources for their commitments and appointments.
  • Coordinating meetings, including arranging logistics, preparing agendas, completing minutes and distribution of information.
  • Diary, travel and email management.
  • Preparing and drafting correspondence and/or documents (including presentations) as required.
  • HR administration and coordination.
  • Leading or assisting with event management for the team, including seminars and conferences.
What you will bring to the role:
  • At least 2-3 years' experience in a business administration support and/or executive assistance position.
  • Proficiency using the Microsoft suite including Word, Excel, PowerPoint and Outlook.
  • The ability to manage and prioritise multiple tasks and responsibilities in a fast-paced work environment.
  • The ability to anticipate others' needs, and you will thrive on delivering results for your team and stakeholders.
  • You are a problem-solver, and actively look for opportunities for improvement.
  • You'll enjoy working autonomously, as well as working with a variety of people.
  • You are able to coach and mentor junior staff, as and when required.
  • You have an understanding of the government structures, process and environment (desirable).
  • The ability to meet the requirements to hold a NZ Government security clearance.
