An excellent opportunity has arisen for an experienced Executive Assistant based in the heart of Auckland’s CBD, to provide high quality and confidential support. This is a permanent based role with a well-known and respected Government organisation.

About the role - Atu mo te mahi
You'll have demonstrated experience in a fast-paced environment providing Executive Assistant/Administrative support and a keen eye for detail. You'll be responsible for diary management, travel bookings, co-ordination of presentations and board reporting. You'll be the first point of contact for internal/external stakeholders, be an articulate communicator with a confident and professional personality. High work ethic and an ability to work independently and show a high level of initiative is key in this role.

Key responsibilities will include but are not limited to:
  • Managing, arranging and prioritising meetings, appointments and all other diary related activities
  • Processing invoices for approval and payment & expense coding
  • Collating material and preparing agenda’s for the weekly briefing, including minute taking
  • Organising functions, on behalf of the Director; including invitations, guest lists, caterers to ensure functions run smoothly
  • Managing incoming communications, drafting responses and actioning outgoing communications
  • Arranging domestic and international travel and accommodation, including itineraries
  • Coordinating and participating in business operational planning processes
  • Coordinating and liaising with other EA’s on best practice and develop standards for team support

About you - Pehea koe
  • 2 years minimum strong proven experience in an EA position
  • Excellent written and verbal communication/ interpersonal skills
  • Ability to build strong relationships with staff, stakeholders and external partners
  • Highly Organised
  • Ability to multitask and quick to learn new systems
  • Excellent time management and problem-solving skills
  • Great attention to detail.
  • Able to manage highly confidential information
  • Ability to work independently and show a high level of initiative
  • Friendly, approachable and has a professional manner
  • Experience within a government organisation will be advantageous
