About the Position

You will be responsible for the delivery of a high-quality level of customer service to our staff across a range of building services administration activities. You will assist, and at times lead projects, within the Facilities team in relation to the delivery of facilities and asset management services, products, and programmes that actively support and contribute to the achievement of this Government agencies outcomes delivering to the needs of staff.

What you will do:

  • Ensuring all facilities management incidents and building maintenance requests are logged and managed with relevant contractors in line with agreed standards and priority levels
  • Organising building maintenance, security access, and minor works coordination
  • Managing jobs through the Facilities Management software programme
  • Managing contracts for external suppliers ensuring service levels are maintained to meet the agencies requirements
  • Develop, organise, and maintain agencies asset portfolio in respect of its property and facilities.
  • Ensuring health, safety and security processes are followed which includes undertaking inductions, managing risks, representing the Facilities team on the health and safety committee
  • Working in a healthy and safe manner, in order to protect yourself, and the wellbeing and safety of all people, in whatever capacity they work for, or engage with the agency. This includes actively participating in the development and continuous improvement of safe work practices

  • Using your strong administrative, time management and planning skills with excellent attention to detail and the ability to spot errors whilst questioning all information that is received
  • Being comfortable being in an environment that often involves interruptions and distractions and prioritising work whilst remaining calm, being approachable with good interpersonal skills
  • Being adaptable and flexible and to multi-tasking effectively in an ever-changing workload
  • Being calm under pressure
  • Identifying and implementing changes to process and systems that improve customer service
  • Demonstrating high levels of integrity and proven ability to develop trust and credibility with managers and staff
  • Working collaboratively and autonomously as part of a small but dynamic team demonstrating energy, vision, and initiative vision, line with agreed standards and priority
