Project Coordinator

  • 18 months fixed term contract, ASAP start
  • Be part of the project team supporting a once-in-a-generation review of electoral law
  • Salary up to $70k depending on experience
 

About the role

As a Project Coordinator, you will provide excellent project and administrative support to the secretariat for the Independent Review of Electoral Law. You play a key role role in monitoring, managing, and tracking project work and supporting the team with providing logistical and administrative support. 

  • Providing an advanced level of project management coordination support
  • Maintaining and monitoring project workstreams and tracking against schedule
  • Setting up and maintaining project files for easy retrieval and documentation
  • Monitoring and tracking expenditure against budget, preparing financial reports as required
  • Managing the processing of invoices, coding and accruals ensuring appropriate approvals
  • Secretariat duties for meetings including formatting, preparing and distributing meeting papers, taking meeting minutes and recording action points and initiating action items arising from meetings, as required
  • Managing all preparation and activities for key events e.g. panel meetings and engagement activities such as focus group sessions, workshops, project presentations, and stakeholder engagement workshops
  • Coordinating logistical requirements including venues, facilities, travel and accommodation for Panel members and stakeholders for meetings and workshops using approved suppliers and following internal approval processes
  • Coordination of end to end recruitment processes for project resources, including creation of required onboarding requests and documentation
  • Building and maintaining effective relationships with a wide range of people in addition to their own team
  • Contributing to the achievement of team goals for time, cost and quality, by identifying and implementing approaches for improving current systems and procedures

To be successful in this role, you will bring with you:

  • A relevant tertiary qualification in a relevant area is desirable, or equivalent work experience in programme/team coordination
  • Knowledge and experience in a recognised project management methodology is an advantage
  • Highly skilled in the use of MS suite, (Word, Excel, PowerPoint, MS Project, Visio and Teams)
  • Excellent verbal, written and interpersonal communication skills, including minute-taking at meetings.
  • Demonstrated competence in budget and financial administration, including cost tracking and analysis
  • Providing written reports with presentation to a high standard
  • Effective time management skills and ability to juggle multiple priorities
  • Sound judgement and initiative
